Create Your Account
First, sign up for Helpmaton. The free plan is free forever (though severely limited), or you can try a paid plan. No credit card required.
- Click the "Start Free Trial" button on the homepage
- Enter your email address
- Verify your email (check your spam folder)
- You're in! Welcome to Helpmaton
Create Your First Workspace
Workspaces are separate spaces for your agents. Each workspace has its own settings, credits, and team members.
- After logging in, click "Create Workspace"
- Give it a name
- Set spending limits for AI usage (optional, but recommended)
- Invite team members if needed (optional)
- Click "Create" to finish
Your first workspace comes with $2 in free credits—no API key needed to start. Use them to try AI agents right away.
Important: AI Provider Setup
To use AI agents, you'll need to cover AI provider costs (OpenAI, Anthropic, Google, etc.). These are separate from your Helpmaton subscription. You have two options:
- Use your own API keys: Pay providers directly while using all Helpmaton features
- Purchase credits: Buy credits through Helpmaton for pay-as-you-go billing
Your subscription covers the platform; AI provider calls are billed separately. Set spending limits to stay on budget.
Create Your First Agent
Now for the fun part—creating your first agent.
- Navigate to your workspace
- Click "Create Agent"
- Give your agent a name and instructions
- Choose what your agent can do
- Add any starting notes or prompts
- Click "Create" to finish
Pro tip: Start simple. You can add more later.
Upload Documents
Give your agents knowledge by uploading documents. They'll use what you provide to help you faster.
- Go to the "Documents" section in your workspace
- Click "Upload Document"
- Select a Markdown or text file
- Organize documents into folders if needed
- Your agents can now use this knowledge
Supported formats: Markdown (MD) and plain text.
Test Your Agent
Time to see your agent in action. Test it to make sure it works the way you expect.
- Go to your agent's page
- Use the test interface to send a message
- Watch your agent respond
- Adjust settings if needed
- Repeat until you're satisfied
Connect to Other Apps (Optional)
Connect your agent to other apps and services so it can send and receive messages. Get fast responses as it works.
- Go to "Integrations" in your workspace settings
- Click "Create Connection" or set up real-time updates
- Enter your app details
- Configure which events should trigger the connection
- Test it out
This step is optional. You can add app connections later.
Connect External Tools (Optional)
Power up your agents by connecting them to external tools and services. This lets them access APIs, query databases, and run custom actions.
- Go to "Integrations" in your workspace settings
- Click "Create External Connection"
- Enter the service URL and set up authentication
- Enable the connection for your agents
- Your agents can now use external tools
This is an advanced feature, perfect for deeper integrations.
Connect Google Workspace Services (Optional)
Connect Gmail, Google Calendar, and Google Drive in a few clicks. No complex setup needed. Your agents can manage your calendar, read and search emails, and access Drive files.
- Go to "Integrations" in your workspace settings
- Click "Create MCP Server" or find Google Workspace options
- Choose the service you want to connect (Gmail, Google Calendar, or Google Drive)
- Click "Connect Google Account" and sign in with your Google account
- Grant the necessary permissions
- Enable the connection for your agents
- Your agents can now access your Google Workspace services!
What Your Agents Can Do
- Gmail: Search, read, and manage emails
- Google Calendar: List events, create meetings, and update schedules
- Google Drive: Read files, Docs, Sheets, and Slides
All connections use secure sign-in to keep your data private.
This step is optional. You can connect Google services later.
Connect Notion (Optional)
Connect Notion in a few clicks. Your agents can read and search pages, create and update content, and work with databases.
- Go to "Integrations" in your workspace settings
- Click "Create MCP Server" and select "Notion"
- Click "Connect Notion Account" and sign in with your Notion account
- Grant the necessary permissions
- Enable the connection for your agents
- Your agents can now access your Notion workspace!
What Your Agents Can Do
- Read Pages: Read pages with their content and properties
- Search: Search pages and databases across your Notion workspace
- Create Pages: Create new pages with content and properties
- Update Pages: Update page content and properties
- Query Databases: Filter and sort database entries
- Manage Database Pages: Create and update database entries
- Append Content: Add blocks like paragraphs, headings, and lists
All connections use secure sign-in to keep your data private.

Enable Agent Skills (Optional)
Agent Skills are optional instruction blocks that teach your agents how to use their tools effectively—with step-by-step guidance, examples, and edge-case handling. Enable them after you have connected the tools (MCP servers or built-in tools) your agent needs.
- Open your agent's detail page
- Go to "External tools" → "Skills"
- Enable skills that match the tools you have connected (e.g. Notion, Linear, document search)
- Your agent will use the skill instructions when calling those tools

Enable Web Search & Content Extraction (Optional)
Give your agents access to up-to-date information. Enable web search to find current articles and use content extraction to summarize any web page.
- Go to your agent's configuration page
- Find the "Web Search" and "Content Extraction" toggles
- Enable the features you want (web search, content extraction, or both)
- Your agents can now use these features
Web Search Pricing
All plans include 10 free web searches per 24 hours. Additional searches cost $0.008 each.
Great for research and monitoring when you need current information.
This step is optional. You can enable web search later.
Explore Memory & Analytics (Automatic)
Your agents automatically use helpful features built into Helpmaton. No setup needed.
- Agent Memory: Agents remember facts, people, and events and organize them over time to provide better answers
- Usage Analytics: Track usage with daily and hourly summaries
- Error Tracking: Errors show up in conversations when requests fail
- Cost Control: Set spending limits at workspace and agent levels to maintain budget control
These features work automatically based on your plan.
Configure Notification Channels (Optional)
Set up notification channels so agents can send updates to Discord or Slack.
- Go to "Notification Channels" in your workspace settings
- For Discord: Add a bot token and channel ID
- For Slack: Configure Slack connections in Integrations
- Agents can now send notifications
This step is optional. You can set up notifications later.
Set Up Email Connections (Optional)
Set up email access so agents can send emails from your workspace.
- Go to "Email Settings" in your workspace
- Configure email authentication
- Verify your email connection
- Agents can now send emails

Deploy as Slack or Discord Bots (Optional)
Deploy your agents as Slack or Discord bots so people can chat with them directly.
